We are currently looking for an Executive Assistant to join our team on a Permanent Contract. Although this role will be mainly remote-based, occasional travel may be required to our offices based in either Dover (Kent) or Birmingham.

The Role:

Reporting to the Head of Advice, Issue Reporting and Eligibility (AIRE) Business Support, the purpose of this role is to provide effective and efficient administrative support within Asylum Services. The role holder will be responsible for minuting meetings, including the Safeguarding and Contract Management meetings attended by senior staff, commissioners and trustees. They will take responsibility for the management of allocated inboxes, managing prioritisation, delegation and/or response. In addition, they will provide executive support as and when required by the Director and Deputy Director of Asylum Services.

The role holder must be highly organised and enjoy working within a busy environment with the ability to exercise a high level of confidentiality, demonstrate good judgment and use their initiative to prioritise work. The role holder will have strong written and verbal communication, excellent administrative skills, demonstrable organisational skills and the ability to maintain a balance among multiple priorities.

Duties and Responsibilities:

  • Minuting meetings including the Safeguarding and Contract Management meetings with senior staff, commissioners and trustees in attendance.
  • To prepare professional reports for management and commissioners with a high degree of accuracy by collecting, collating and checking information from a variety of sources.
  • Responsible for the management of allocated inboxes, triaging and allocating communications to the appropriate team.
  • Managing subject access requests from acknowledging receipt through to response in accordance with procedure.
  • To clearly demonstrate and observe confidentiality and respect for boundaries.

Therefore the applicant must:

  • Be able to provide documents to show their right to work in the UK ie valid passport or other right to work documents such as work visa, settled status document, certificate of registration, naturalization as a British citizen, Biometric Residence Permit etc. 
  • Be able to provide continuous UK address history for the previous 5 years.
  • Provide full employment history for the previous 3 years and/or suitable documentation to cover any gaps in employment
